Bulk editing lets you update the same fields or actions across multiple macros in one controlled workflow.
Before applying anything, you can review the resulting changes for each macro and exclude individual macros from the operation.
Fields you can bulk edit
The bulk editor currently supports:
- title;
- access;
- status;
- comment;
- tags;
- brand;
- group;
- ticket form;
- assignee.
Deleted macros cannot be selected for bulk editing. Their selection checkboxes are disabled.
Start a bulk edit
- Open Macros Management.
- Find the macros you want to update.
- Select the macros using the checkboxes in the table.
- Open the bulk actions menu.
- Select Bulk edit.
- In the Configure step, enable each field or action you want to change.
- Enter the new values or editing rules.
- Select Review.
Only the fields you enable are included in the operation. Other macro fields remain unchanged.
Edit macro titles
There are two ways to change titles in bulk.
Add a prefix or suffix
Use Prefix/Suffix to add text before or after each existing macro title.
This is useful for adding review markers, status labels, or category text while preserving the rest of each title.
For example, you could add:
[To review]as a prefix;- Legacyas a suffix.
Find and replace title text
Use Find/Replace to replace matching text within each selected title.
You can also make the match case-sensitive.
This option can be used to move macros between title-based Zendesk categories. For example:
- find
Orders::; - replace it with
Delivery::.
Only the matching part of the title is replaced. The rest of each macro title remains unchanged.
Macros without matching text are identified during review and skipped unless another configured change applies to them.
Edit comments
Comment editing supports two methods.
Set comment text
Use Set text to provide the comment text that should be used for the selected macros.
You can also configure the applicable comment action and comment type.
Find and replace comment text
Use Find/Replace to replace matching text inside supported macro comments.
This is useful when the existing comments should remain mostly unchanged but a phrase, link, instruction, or other repeated text needs to be updated.
You can also remove the comment action from the selected macros by enabling Remove comment action from macro.
Edit tags
Zendesk macros can contain different tag actions:
- Add tags;
- Set tags;
- Remove tags.
The bulk editor lets you update the values for each of these actions separately.
For example, you can:
- define the values used by an existing Add tags action;
- define the values used by a Set tags action;
- define the values used by a Remove tags action.
You can also remove any of these actions from the macro entirely by selecting the corresponding removal option, such as:
- Remove ‘Add tags’ action from macro;
- Remove ‘Set tags’ action from macro;
- Remove ‘Remove tags’ action from macro.
Removing a tag action is different from leaving its value field empty. Use the removal checkbox when the action itself should no longer exist in the macro.
Edit access, status, and other actions
Enable the relevant section to update access, status, brand, group, ticket form, or assignee across the selected macros.
The drawer may show the current shared value beside a field. When the selected macros have different existing values, it displays Mixed.
Review these settings carefully, especially when the selected macros belong to different workflows or groups.
Review changes before applying them
After configuration, the Review changes window shows the result for each selected macro.
For each macro, you can review:
- its current value;
- the resulting value;
- whether a matching change was detected;
- whether the macro will be included.
Macros with no applicable changes are marked accordingly and are skipped.
You can clear the Include checkbox to exclude an individual macro without returning to the configuration step.
You can also add an optional change note. The note explains why the update was made and appears in macro history.
Apply the changes
Select Apply changes after reviewing the operation.
The Apply step shows:
- operation progress;
- each processed macro;
- whether the macro was updated;
- any warning or error associated with the macro.
A problem with one macro does not hide the results for the others. Review the final status to identify any macros that require another attempt or a manual update.
Recommended checks before a bulk edit
Before applying a large update:
- Use filters to narrow the table to the intended macros.
- Confirm the number of selected macros.
- Enable only the fields that should change.
- Review each before-and-after result.
- Exclude unexpected or unchanged macros.
- Add a change note when the reason may be useful during a later audit.
- Review all warnings and errors after the operation completes.
