Macros Management gives Zendesk administrators one place to review, organize, and update large macro libraries.
Use it to find macros, compare their status and usage, apply bulk changes, reorder macros, review deleted macros, and open macro history.
Open Macros Management
To open the management workspace:
- Open Macros Reporting and Management.
- Select Management from the main navigation.
The Management page displays your macros in a configurable table.
Find macros
Use the search field and filters to narrow the table to the macros you need.
You can filter macros using available attributes such as:
- title or category;
- active or inactive status;
- access;
- brand;
- group;
- usage;
- last-used period;
- custom labels;
- deleted state;
- other supported macro properties.
Applied filters remain visible above the results so you can confirm the current scope before selecting or changing macros.
Review macro details
Each row provides a summary of the macro and its current state.
Depending on your table configuration, you can review information such as:
- macro title and category path;
- number of actions;
- access restrictions;
- active status;
- usage during the selected period;
- last-used date;
- custom labels.
Select a macro title or its available action menu to open more detailed options.
Configure the table
You can adjust the table to show the columns most useful for your current task.
For example, a cleanup view may focus on:
- status;
- usage;
- last used;
- category;
- labels.
An access review may instead focus on:
- title;
- group or user access;
- brand;
- active status.
Use predefined and custom views
Views let you return to a useful table setup without rebuilding the same filters and columns.
Predefined views help with common review scenarios, such as finding:
- unused macros;
- inactive macros;
- deleted macros;
- recently changed macros;
- other cleanup or review candidates.
You can also save your own custom views based on the current filters, sorting, and table configuration.
Add custom labels
Labels let you organize macros using internal workflow markers that do not change the macro in Zendesk.
For example, you can use labels such as:
- Needs review;
- Approved;
- Cleanup candidate;
- Deprecated;
- Owner assigned.
Labels can be added to individual macros or applied in bulk.
Apply bulk actions
Select multiple macros to apply the same action to all of them.
Available bulk operations can include:
- activate;
- deactivate;
- add or remove labels;
- edit macro properties and actions;
- delete;
- reorder.
Review the selected macros and any available preview before confirming a bulk operation.
Edit macros in bulk
Bulk editing lets you update multiple macros in one controlled flow.
Depending on the selected macros and supported fields, you can update:
- titles and category paths;
- access;
- active status;
- comments;
- comment visibility;
- tags;
- ticket fields;
- other macro actions.
The app shows the intended changes before they are applied.
Reorder macros across pages
Macros Management supports reordering multiple macros across more than one results page.
You can reorder macros while filters are applied instead of rearranging them one at a time in Zendesk.
This is useful when a macro library contains hundreds or thousands of items.
Review deleted macros
Deleted macros remain visible in Macros Management for review.
You can filter for deleted macros, inspect their details, open their history, and restore an earlier deleted version as a new Zendesk macro.
Deleted macros cannot receive normal editing operations because they no longer exist as active Zendesk macros.
Open macro history
Use the macro row actions to open its history.
Macro history can show when the macro was:
- created;
- updated;
- reordered;
- deleted;
- restored or detected again;
- rolled back.
Where available, the history also identifies the person who made the change and whether it came from Zendesk or Macros Reporting and Management.
Export macros
Export the current macro set when you need to:
- review macros outside the app;
- prepare an audit;
- share a cleanup list;
- keep a backup;
- analyze a large selection in a spreadsheet.
The export follows the current scope of the table, so confirm the active filters before downloading the file.
Before making changes
Before applying a bulk edit, deletion, or reorder:
- confirm the active filters;
- review the number of selected macros;
- verify that all selected macros should receive the same change;
- inspect the preview when one is available;
- avoid repeating the action while the previous request is still processing.
For substantial changes, consider exporting the affected macros and reviewing their history first.
