Export macros from Macros Management when you need to review them outside the app, share them with stakeholders, prepare a cleanup project, or keep a backup of the current macro data.
The export uses the current Management scope, so review the active filters before downloading the file.
Export the current macro list
To export macros:
- Open Management.
- Apply any required search criteria or filters.
- Confirm that the table shows the macros you want to export.
- Click the three dots to the right of the filter bar.
- Choose 'Export current view' to download the report.
Export filtered results
You can use filters before exporting to limit the file to a specific group of macros.
For example, you can export:
- active macros;
- inactive macros;
- deleted macros;
- macros in a specific category;
- macros restricted to a specific group;
- macros with a specific label;
- macros not used in the last 30 days;
- macros included in a saved view.
Before exporting, confirm all active filters and the number of matching macros.
Common export workflows
Review a large macro library
Export the current macro inventory to review titles, categories, access, status, usage, and other available data in a spreadsheet.
This can be useful when several people need to participate in a macro audit.
Prepare a cleanup project
Filter for unused, inactive, outdated, or labeled macros and export the results for review.
Use the exported file to record decisions such as:
- keep;
- update;
- assign for review;
- deactivate;
- delete.
Changes made in the exported file are not automatically applied to Zendesk.
Keep a backup
Export macros before a large cleanup or bulk-editing project.
The export can provide a reference to the macro state at the time it was generated. It is not a replacement for macro history or rollback.
Share macros with stakeholders
Export a filtered set when another team needs to review macro content, access, usage, or ownership.
Remove or protect sensitive information before sharing the file outside your organization.
What the export can include
The available export fields depend on the current product version and selected export format.
They can include macro information such as:
- Zendesk macro ID;
- title and category path;
- active status;
- access;
- macro actions;
- labels;
- usage;
- last-used date;
- other available macro attributes.
The export reflects the data available to Macros Reporting and Management when the file is generated.
Exported files are not editable imports
Editing an exported file does not update macros in Zendesk or Macros Reporting and Management.
The export is intended for:
- review;
- analysis;
- audits;
- sharing;
- reference;
- backups.
Changes must still be applied through Zendesk or the supported management actions in Macros Reporting and Management.
Exporting deleted macros
Deleted macros can remain visible in Macros Management and may be included in an export when the current filters or view include them.
This can help preserve context for:
- deleted macro reviews;
- recovery decisions;
- audit records;
- comparisons with active or restored macros.
A deleted macro cannot be edited directly because it no longer exists as a current Zendesk macro.
Exporting before a bulk operation
Before a substantial bulk edit, deletion, category change, or reorder:
- Filter the table to the affected macros.
- Review the selected scope.
- Export the current results.
- Store the file in an appropriate internal location.
- Continue with the bulk operation only after reviewing the available preview.
An export provides a reference copy, but recovery should use macro history, restore, or rollback when those features are available.
Data privacy
Exports may contain ticket-field values, access information, or other business data.
Store and share exported files according to your organization’s security and data-retention policies.
