Macros Management lets you reorder multiple macros across more than one page of results.
This is useful when your macro library is too large to manage on a single page or when you need to reorganize a filtered group of macros without moving them one at a time in Zendesk.
Before you begin
Before entering reorder mode:
- apply any filters needed to narrow the macro list;
- review the macros included in the results;
- make sure no other administrator is changing the same macro order at the same time.
When reorder mode is active, table sorting is disabled. Macros are displayed according to their current order so that you can assign new positions accurately.
Reordering changes the macro position in Zendesk. It does not change the macro title, actions, access, active status, or category.
Start reorder mode
To reorder macros:
- Open Management.
- Apply any required filters.
- Open the three dots menu to the right of the filter box.
- Select Reorder macros.
- Enter reorder mode.
Any active table sorting is disabled automatically when reorder mode starts.
Select multiple macros
In reorder mode, select the macros you want to move together.
You can select macros from more than one page of results. The selected macros remain part of the reorder operation while you navigate between pages.
Move macros across pages
To move selected macros to another position:
- Select the macros you want to move.
- Navigate to the page containing the destination position.
- Choose the macro row below (or above) which selected macros should be placed.
- Hover the row and see the up and down buttons appear on the right.
- Click either of the buttons.
- Review the updated order.
- Continue moving macros if further changes are needed.
- When finished reordering, click 'Save order' at the bottom to confirm reordering.
You do not need to complete separate reorder operations for each page.
You can also drag an individual macro to a new position.
Reorder filtered results
You can enter reorder mode while filters are applied.
For example, you can first narrow the table by:
- category;
- active status;
- brand;
- group;
- label;
- usage;
- last-used period.
The filters remain active while sorting is disabled.
Before confirming, check that the active filters define the intended reorder scope.
Sorting in reorder mode
Sorting cannot be used while reorder mode is active.
This prevents a selected sort order — such as title, usage, or last-used date — from conflicting with the actual macro positions being edited.
To use table sorting again, exit reorder mode.
Review the final order
Before applying the changes:
- Review the selected macros.
- Confirm their destination.
- Check the order of the surrounding macros.
- Make sure no macro was moved unintentionally.
- Confirm the reorder operation.
Apply the reorder
After confirming the operation, Macros Reporting and Management applies the new order to Zendesk.
Wait until the operation finishes before starting another reorder.
After completion:
- the selected macros appear in their new positions;
- their Zendesk macro IDs remain unchanged;
- their titles and actions remain unchanged;
- the reorder event is recorded in macro history.
Reordering and categories
Reordering changes the position of a macro. It does not move the macro to another category.
To change a macro category, update its title or category path separately.
For example:
Billing::Refunds::Approved
remains in the same category after reordering. Only its position relative to other macros changes.
Reordering inactive or deleted macros
Only macros that can be reordered in Zendesk are available for this operation.
Deleted macros cannot be reordered because they no longer exist as current Zendesk macros.
Availability for inactive macros depends on the reorder behavior supported by Zendesk and the current Management view.
If the reorder fails
A reorder operation may fail when:
- a macro was changed or deleted during the operation;
- another administrator changed the macro order;
- the current data is no longer up to date;
- Zendesk rejects the update;
- the current user does not have permission to reorder macros;
- the operation is submitted more than once while still processing.
Review the error shown by the app before retrying.
If the result is uncertain or only part of the operation succeeds, refresh the Management page and confirm the current order in Zendesk before running the reorder again.
Reorder safely
For large reorder operations:
- narrow the result set before starting;
- move macros in logical groups;
- avoid running several reorder operations at the same time;
- review the final order before confirmation;
- wait for the success state before leaving the page;
- check macro history if an unexpected change appears.
