Custom labels help you organize macros inside Macros Reporting and Management without changing the macro itself in Zendesk.
Use labels to mark macros for review, cleanup, approval, deprecation, ownership, or other internal workflows.
What labels do
Labels are stored and managed inside Macros Reporting and Management.
Adding or removing a label does not change:
- the macro title;
- the macro actions;
- the macro’s active status;
- its access settings;
- how agents see or use the macro in Zendesk.
Labels are intended for internal organization and review.
Common ways to use labels
You can create labels for workflows such as:
- Needs review
- Approved
- Cleanup candidate
- Deprecated
- Legal review
- Content owner assigned
- Migration batch
- Training required
Use clear and consistent names so other administrators understand what each label means.
Add a label to one macro
To add a label to an individual macro:
- Open Management.
- Find the macro.
- Open the macro’s row actions.
- Select the option to edit labels.
- Update an existing label or create a new one.
- Confirm the change.
The label appears in the macro’s label column and can be used as a filter.
Add labels to multiple macros
To apply the same label to several macros:
- Open Management.
- Use search, filters, or a saved view to narrow the results.
- Select the required macros.
- Click the 'Edit labels' button at the bottom.
- Edit existing or create new labels.
- Confirm the operation.
Before confirming, check the number of selected macros and the active filters.
Create a new label
You can create a label while assigning labels to macros.
To create one:
- Open the label selector.
- Enter the new label name.
- Choose the option to create it.
- Select the new label.
- Confirm the change.
Use one label for one clear purpose. Avoid creating several labels with nearly identical meanings.
Filter macros by label
To find macros with a specific label:
- Open Management.
- Click the individual label in the macro table; otherwise, open the filters.
- Select the label filter.
- Choose one or more labels.
- Apply the filters.
The table updates to show macros matching the selected label criteria.
You can combine the label filter with other criteria.
For example:
- Needs review and active
- Cleanup candidate and not used in 30 days
- Deprecated and still receiving usage
- Legal review and restricted to a specific group
Remove a label
To remove a label from one or more macros:
- Select the affected macro or macros.
- Open the edit label action.
- Click 'Remove' to the right of the label name field.
Removing a label does not delete or modify the macro.
Use multiple labels
A macro can have more than one label when it belongs to several workflows.
For example, a macro could be labeled:
- Needs review
- Legal review
- High usage
Avoid using too many labels on the same macro. Labels are most useful when each one leads to a clear review or action.
Labels and saved views
You can combine labels with filters and save the current Management setup as a custom view.
For example, you could create views for:
- macros awaiting approval;
- cleanup candidates that are still active;
- deprecated macros used in the last 30 days;
- high-impact macros requiring content review.
A saved view stores the criteria, not a fixed list of macros. Its results can change when labels are added or removed.
Review labels before bulk changes
Labels help identify a working set, but they do not confirm that every matching macro should receive the same change.
Before deactivating, deleting, editing, or reordering labeled macros:
- Review the active filters.
- Confirm the selected labels.
- Check the number of matching macros.
- Inspect any exceptions.
- Review the available preview before applying the change.
